This article provides an overview of the data accessible through the billing portal. It explains the components of your invoices and how they are calculated to ensure transparency and ease of use.

Who can access the invoices (billing portal)? 

  • The billing portal in Silverfin is accessible to users who have been granted permission to view the company’s invoices. 
  • Billing users do not need to be admin users. During onboarding, your Customer Success Manager (CSM) works with you to decide which users should have invoice access.
  • If you have questions about billing access, contact your Customer Success Manager.

Usage summary

The Usage summary provides an at-a-glance overview of customers’ current usage for Data Hub and Content Products Hub. It includes key metrics such as:

  • Total usage
  • Total licensed usage
  • Overage billed
  • Estimated invoice 
  • lLcense year

Sync connectors and external contributors are excluded from this summary. Detailed charge information is available on the Invoices section.


Weekly Updates

  • The usage summary is updated every weekend to provide the most accurate information.
  • Changes to consumption will appear in the summary only after the next update cycle.

Consumption Adjustment Deadlines

  • A yellow banner prominently displays the deadline for making consumption adjustments that will be reflected in the next invoice. This ensures users have clear visibility into the timeframe for changes.

Best Practices for Adjustments

  • For monthly invoices, it is recommended to adjust consumption before the deadline shown on the banner to ensure changes are accurately reflected in the upcoming invoice.
  • For renewals, adjustments should be made at least one month in advance, as renewal invoices are billed one month upfront. This helps customers avoid discrepancies or unexpected charges on their renewal invoices.

Data hub

The Data Hub tracks file usage and costs based on file type.

Key Metrics 

  • Total Usage: The sum of all contracted licenses and any overage charges (not prorated) from the start of your license year to the current date.
  • Total License: The total contracted license from the beginning of the license year to the next renewal date.
  • Overage Billed: The total overage charges (prorated based on file addition dates) from the start of the license year to the current date.
  • Estimated Invoice: A projection of your next invoice based on current usage. Any recent changes to your environment may not yet be reflected.
  • License Year: The duration of your Data Hub license year.

Data Hub Breakdown 

By clicking “Show details,” you can view a detailed breakdown of your Data Hub usage, including:

  • File-specific usage: displays the types of client files in use, their quantities, and the associated costs, offering a clear overview of how usage contributes to overall billing.
  • Total overages: highlights any usage exceeding the licensed limits, helping users identify areas that may lead to additional charges.
  • Prorated charges: provides a detailed view of prorated costs for overages based on when the excess usage occurred. 
  • Estimated next invoice: projects the total amount expected to be billed for the upcoming month, allowing users to anticipate and manage costs proactively.
  • Hub license due: provides a summary of the total amount owed for the Data Hub license, including any upcoming renewal fees. For customers opting for quarterly invoices, it also includes details of the quarterly license due).

Content products hub

The Content Products Hub tracks usage for add-on modules (e.g., workflows) activated within client files.

Key Metrics

  • Total Usage: The total usage of content products from the start of each license year to the current date.

  • Total License: The contracted license total for all content products from the beginning of their respective license years to the next renewal date. Renewal dates may vary by product.
  • Overage Billed: The total overage charges for all content products from the start of each product’s license year to the current date.
  • Estimated Invoice: A projection of your upcoming invoice based on current usage. Recent changes may not yet appear.
  • License Year: The license periods for content products vary by product and may differ from the Data Hub license. The start date is determined by each product's activation date.

Content Products Hub Breakdown

By clicking “Show details,” you can view a detailed breakdown of your Content products hub usage, including:

  • Number of files in contract: displays the total number of files covered under the current license agreement, providing a clear baseline for usage.
  • Active files: tracks the number of files actively being used.
  • Overage details: clearly highlights any usage that exceeds the licensed limits, enabling users to identify potential overage charges.
  • Archived files: shows the total number of files that have been archived.
  • Price per product: provides a detailed breakdown of costs for each content product, ensuring users have full transparency into individual product pricing.
  • Estimated next invoice: projects the total expected bill based on current usage, helping users anticipate and manage costs while avoiding surprises.
  • Content product license due: summarises the total amount owed for each Content Product license, including any upcoming renewal fees. 

Invoice summary 

 Invoice summary gives you a summary of your overdue and open invoices, which include:

  • listed the outstanding total, overdue invoices, due date for overdue invoices.
  • the amount of open invoices and due date for open invoices.
  • next invoice calculation date. 

 In summary, the billing portal equips you with essential insights into your usage and costs, ensuring transparency and effective management. Regular updates and detailed breakdowns help you anticipate charges and adjust consumption strategically. For any questions, your Customer Success Manager is ready to assist.
